Coaching institute management software

Coaching institute management software that covers the whole business

Enquiries, admissions, batches, attendance, fees, tests, expenses and payroll — one system, built for Indian coaching institutes rather than adapted from a school ERP.

Most institute management software in India began life as a school ERP. You can tell, because it arrives with a transport module, a hostel module and a library module, and it has no idea what a demo class is. The parts a coaching institute lives on — the enquiry that needs a third follow-up call, the batch priced for the year and paid in three installments, the teacher paid per session — get treated as afterthoughts.

GyanLink was built the other way round. The core is the loop a coaching institute actually runs: enquiry, demo, enrolment, batches, attendance, fees, tests, renewal. Everything else is arranged around that.

The problem

01

What institute management software is usually missing

Three gaps show up again and again when institutes describe what they moved away from.

  • The demo class is not a stage in the funnel, so the highest-intent moment in your whole sales process is tracked worse than the first phone call
  • Fees are modelled monthly, when coaching institutes charge a package price for the year that a family pays in one, two or three parts
  • Only money coming in is recorded — salaries, rent and printing live somewhere else entirely, so nobody can answer whether the month was profitable

What it covers

02

One system, twelve modules, no integrations to buy

Everything below is in the product today, sharing one database. A change in one place appears everywhere it matters, because there is nothing to sync.

  • Enquiry and lead management, with demo scheduling and follow-up ownership
  • Admissions, student profiles, guardians and documents
  • Batches, courses and a dated timetable that refuses to double-book a teacher
  • Student roll-call attendance, with automatic absence messages to parents
  • Fee structures, installment plans, receipts, due tracking and reminders
  • Tests, marks, results and OMR sheet checking from a photograph
  • Homework and study material shared to a batch
  • Announcements and notification logs
  • Expenses by category, attendance-driven payroll, and money-in-versus-out reporting
  • Role-based permissions you define yourself
  • Parent and student portals reached by link

How it fits

03

Built around the coaching loop, not a school timetable

The order things happen in is what makes coaching software feel right or wrong to use, and it is where adapted school products come apart.

In GyanLink an enquiry carries its source, an owner and a follow-up date. A demo is a stage of its own, because it is the highest-intent moment in the funnel. Converting to an admission creates the student, the guardian, the batch seat and the portal logins in a single step, and closes the enquiry as won.

From there the batch drives everything: the timetable it appears on, the register it is marked from, the annual price it is billed at, and the tests its students sit.

Questions

Questions institute owners ask

Is this school software or coaching software?

Coaching. The product is built for coaching institutes and classes — the enquiry-to-renewal loop, batch pricing, installments and per-session teacher pay. School-specific compliance such as board report cards is not included.

Can it handle fees paid in installments?

Yes. A batch carries its price for the year and the family pays it in one, two or three parts with due dates. Outstanding amounts are tracked and reminders go out automatically.

Can we control what each staff member can see?

Yes. You create roles that match how your institute is staffed and switch individual permissions on and off. A receptionist can work with enquiries without seeing salaries or financial reports.

Do parents and students need to install an app?

No. Parents and students get access by link, which works on any phone browser. Parents see attendance, fee dues, timetable, results and homework for each of their children.

We use spreadsheets today. How hard is moving?

There is a bulk import for students, and we walk your first batch through with you. Most of the effort is deciding what to bring across, which we help with on the demo call.

See it against your own institute, not a demo account.

Forty minutes, your institute, real questions. If we are not the right fit, we will say so.
